TITLE:  Managing Director

JOB TYPE:     Full Time

SALARY RANGE:  $70,000 to $80,000/year

JOB OVERVIEW:  Directly reporting to the Board of Directors, the Managing Director is a leadership position working with the Producing Artistic Director, responsible for generating, directing and supervising day-to-day administrative duties and overseeing financial and facilities management, development, strategic planning and community relations.  The Managing Director builds and oversees the team that includes the Office Manager, Box Office and Front of House, and works with the Artistic Director to oversee Marketing and Development.  

SKILLS REQUIRED:  The ideal candidate works well in a busy environment and under deadline pressure.  Excellent writing and communication skills, accounting and budgeting skills, nonprofit management experience and working with boards, board development and contracts.  Candidates must have work schedule flexibility.

MANAGING DIRECTOR RESPONSIBILITIES

Strategic Planning

  • Coordinate and implement long-range and annual strategic planning in conjunction with Artistic Director, staff and Board of Directors.

Administration

  • Supervise daily administrative operations and collaborate with Artistic Director in executing the season
  • Manage all insurance needs

Personnel management

  • In conjunction with Artistic Director, supervise all staff, including coaching, mentoring, conflict management/resolution, performance management and training
  • In conjunction with Artistic Director, recruit all levels of employees including freelance and temporary employees
  • Maintain job descriptions
  • Maintain employee records
  • Manage termination processes to include exit interviews and succession planning
  • Ensure that WGTB’s employment policies and employee handbook are current and complete and support the organization’s staffing goals and needs.
  • Call and chair staff meetings
  • Ensure that employment policies and reporting are consistent with all rules and regulations governing working in the State of California and the County of Los Angeles.
  • Oversee recruiting, training, coaching, and retention of staff (employee, contractor, volunteer)
  • Foster an office culture of teamwork, generous collaboration, clear communication, effective delegation, respectful engagement, and mutual support.

Financial Management

  • Collaborate with the Office Manager, Accountant, bookkeeper, auditors, and board on overall financial management
  • Prepare and implement financial plan, including an annual operating budget and a long-term capital budget which supports the strategic plan
  • Review and facilitate production budget in collaboration with Artistic Director and Production Manager
  • Manage all accounts payable and receivable with Office Manager
  • Oversee management of payroll and payroll tax requirements such as liability payments, quarterly payment and 1099/W2s
  • Manage annual audit and 990’s and insure timely completion
  • Manage any other audits including those for insurance, workers’ comp and grants
  • Generate financial reports working with accounting team. 
  • Manage all banking and vendor relationships
  • Maintain the AEA Bond

Marketing

  • Work with Marketing Coordinator to
    • Maintain or supervise the maintenance of the website
    • Provide for the creation and printing of all printed materials
    • Review Press Releases
    • Review weekly eblasts
  • Work with Marketing Coordinator and Box Office Manager on
    • Development of group sales
    • Development of yearly ticketing strategy 
    • Maintenance of subscriber database

Education

  • In conjunction with the Artistic Director and all education managers, oversee education and internship programs

Development

  • Work with Development Director and Development Team to
    • Coordinate & contribute to the writing of grants
    • Review all grant proposals and grant reports for accuracy and content before sending
    • Complete and send any necessary grant qualification paperwork, SAMS, etc. 
    • Meet with/have phone conversations with grant reviewers as appropriate
    • Review and sign thank-you letters to donors
    • Work with board on annual fundraising plans
  • Maintain donor database
  • Provide event support where necessary

Board Relations

  • In conjunction with Artistic Director, maintain primary relationships with Board of Directors
  • Provide the board with quarterly reports to assess progress towards goals and objectives of the strategic plan, staff activity, financial updates against budget, and collect appropriate staff reports. 
  • Assist board leadership with recruitment, education and board member development
  • Provide logistical support to the Board for meetings. 
  • Serve as staff liaison to Finance Committee and other committees as needed. 

Advocacy

  • Build a positive relationship with community volunteers, donors, sponsors, public officials and other arts organizations
  • In conjunction with the Artistic Director, present the public face of the Theater and, when called upon, speak to private and public organizations and to the press

Facility and IT Management

  • Oversee and facilitate all leases for theatre and grounds
  • Oversee compliance with all permitting, licensing and other governmental requirements
  • Work with facility manager to ensure grounds and space remain safe and in good working order
  • Ensure that organization has the information, communications, and technology systems that it needs to effectively accomplish the activities and programs planned and scheduled.

Production Support

  • Work closely with Artistic Director and Production Manager to provide administrative services for the production process.
  • Manage financial payment of all production staff with Production Manager

QUALIFICATIONS

  • College degree or equivalent experience
  • 5 – 7 years experience with an arts organization in a leadership position
  • Strong organizational development and management skills
  • Past success working with a Board of Directors and Board Development experience
  • Proven leadership and relationship management experience
  • Proven track record as a fundraiser
  • Strong written and verbal communication skills
  • Persuasive communicator with excellent interpersonal skills
  • Understanding of Finance and Managerial Accounting

TERM / SCHEDULE

This is a full-time hybrid position, with expectations of at least three days a week on site in Topanga, California.  

COMPENSATION AND BENEFITS

The total compensation range is $70,000 to $80.000 per year.  Currently Theatricum Botanicum pays all employees weekly.  After a 90-day review, employee can qualify for $300 per month health insurance stipend, two weeks paid vacation, and 11 selected paid holidays.
