Theatricum’s Adult Programs Coordinator (APC) will help market working with Marketing Manager, adminstrate, and handle sales and enrollments for private classes and personal coaching offered to adult students through the theatre’s Academy of the Classics.
The APC will work both on site at Theatricum’s office/theatre in Topanga Canyon and out of his/her home. Much of the required work can be on a flexible schedule at the convenience of the APC, however, the position requires adhering to firm deadlines specific classes offered by the organization. Filling classes to their budgeted quota is the primary goal of the job and requires strong attention and sales “pushes” up to 6 weeks prior to each class or seminar start date.
The ideal candidate is an organized self-starter who is comfortable and excels in: making high volume phone calls; developing positive interpersonal relationships with both students and faculty; scheduling; employing sales communications techniques such as email and social media; research; maintaining and adhering to a budget and schedule; executing ad placement and bulk mailings; serving as an ambassador for Theatricum to the local community. Additional duties include laying out programs for culminating performances, proof-reading correspondence, documenting expenses, and producing final performance events at the end of certain classes. This is an excellent opportunity for a professional artist looking to supplement their income.
Exact hours will be set by the APC on a weekly basis and can be a combination of regular weekly and evening/weekend hours and may range from 0-20+ hours a week at various times during the year, not to exceed a total yearly allocation of 700 hours.
Part time hourly. Starting rate $15-18/hr depending on experience with the opportunity for advancement over time. APC will be compensated as an employee and paid weekly upon submission of timesheets and approval of those timesheets by the Academy Manager. There are no additional benefits.
The Program Coordinator must be personable, comfortable speaking to the public and excel in sales and creative ways to promote sales. Ideally (s)he will have a working knowledge of Word, Excel, Google docs, Google calandar, Microsoft Outlook, QuickBooks, (S)/he will be entrepreneurial in spirit – self-motivated, a self-starter and dedicated with an extremely high work ethic. The individual should possess excellent oral and communication skills, be able to maintain confidentialities and have the ability to multi-task and prioritize conflicting demands. Follow-through and dedication to completing a task effectively are critical as is the ability to work quickly and efficiently. The ideal candidate should be interested and excited about theatre and passing on techniques to help the actor develop their craft as well as encouraging of the lay person to learn about heightend language and Shakespeare. (S/he) must have a positive attitude and an outgoing personality and be able to work well with others. Theatricum is a highly communal environment that fosters a great deal of inter-personal interaction. The ideal candidate will be comfortable with this sort of social work environment and will consider it an asset to his/her work ethic. Candidates must be available for a combination of regular office and weekend hours and must be able to drive and have access to their own working vehicle with up to date insurance. The Academy Manager oversees the execution of Will Geer Theatricum Botoanicum’s private classes for all ages offered through its renowned Academy of the Classics. The Academy Manager will work with the Producing Artistic Director, Academy Program Managers, and support staff and oversee all aspects of existing private classes for Adults, Teens, Youth and Young Children. In addition, the Academy Manager will work with staff to curate new classes to meet the changing needs of students of all ages while serving the Academy’s mission of helping participants of all backgrounds develop and celebrate their love of language, theatre, history, music, and the arts. Will work with other program managers and coordinators to develop the strategic vision for the education programs. The Education Programs Manager will use his/her creativity and collaborative ability to work with the full Academy team, Marketing Manager, to come up with innovative ways to help market Academy programs and increase the outreach and thus the enrollment in these exciting classes.
The ideal candidate has experience managing programs, including scheduling, budgeting and marketing, as well as very strong people skills. Applicants should be comfortable in a large, outdoor environment where children and pets are often integrated into the work environment. Applicant must be able to reliably work on-site in Topanga during camps sessions and classes, as well as elsewhere for seasonal classes held off-site, and have flexibility to work outside the 9-5 work week.

DETAILED JOB DESCRIPTION
Sales and Marketing
o Generate new potential clients through in-person, online, word of mouth, print and other platforms.
o Oversee Academy information on Theatricum’s website, in both the Adult and Youth/Teen Academy brochures, and in other printed material.
o Database management.
o Work with staff to schedule year-long calendar of classes offered through the Academy integrating class schedules with schedules of other existing programs at Theatricum’s busy property and off site.
o Work with Program Managers to hire and contract Academy teachers for all age groups.
o Provide support for each class as needed.
o Work closely with the Administrative Assistant to track student payments.
o Prepare and oversee payroll for all staff in Education Programs.
o Manage Zoom or other distance learning platforms.
o Participate in monthly Staff meetings.
o Handle Program Management for the Teen age-group including booking and in-person management of those classes.
o Work with Grants Manager and Managing Director ensure grant requirements are met for programs.
o Create, actualize, and reconcile budgets.
o Participate in preparing yearly budget and make data-based recommendations
o Generate reports as needed.
