JOB TYPE: Part time, seasonal (May-October, 2025 plus other times per special events)

SALARY: $21.00 per hour not to exceed 650 per year.  Might be less

JOB OVERVIEW 

Will Geer’s Theatricum Botanicum’s Box Office Manager is responsible for all ticket operations with the objective of providing the highest degree of customer service and satisfaction. The position is responsible for working alongside development and marketing departments in the management and maintenance of box office operations, functionality, accountability, and customer relations. Position reports to the Managing Director and Producing Artistic Director.

 

DETAILED JOB DESCRIPTION 
  • Answering incoming calls on the ticket office phone line. 
  • Responding to messages left on the voice mail in a timely manner. 
  • Advise and assist with the implementation, reporting, and generating of event reports using the ArtsPeople ticketing system. 
  • Overseeing the daily, weekly, monthly and yearly sales of tickets and entering and submitting data as required. 
  • Reconciling any issues between ticket sales and the financial department including shortages or overages in cash drawers. 
  • Develop and maintain documentation and training material on Box Office policies and procedures. 
  • Work closely with accounting on executing proper cash handling and cash control procedures. 
  • Hiring, training, scheduling and supervision of ticket office staff. Making sure that all staff is fully trained in handling customer issues and explaining policies regarding ticket sales. 
  • Demonstrate excellent customer service skills, respond promptly to customer inquiries and requests, and train all Box Office personnel in customer service standards. 
  • Processing subscription and single ticket orders, ticket exchange, and ticket donation requests in an efficient and timely manner. 
  • Maintaining accurate financial records. 
  • Ensure the box office is staffed during operating hours. 
  • Function as information and sales representative for all WGTB Repertory and Special events.
  • Upsell appropriate services and events.
  • Assist with database maintenance, add accounts and qualify in ArtsPeople and correct patron information on an ongoing basis. 
  • Make outgoing calls to patrons regarding program or event changes and new services or offerings as necessary.
  • Compose and distribute periodic customer comment reports 
  • Work with house management to help reconcile onsite customer concerns. 
  • Ensure the fulfillment of house seats, comps, press and trade requests. 
  • Maintain box office fiscal accountability and audit procedures. 
  • Maintain supplies and order of Box Office.
  • Prepare, maintain and adhere to yearly department budget. 
  • Hire, train, and oversee assistant as needed to support patrons, up to 4 hours per repertory performance. 
  • Work in conjunction with Development Department to ensure donor recognition as appropriate. 
  • Participate in staff meetings. 

EDUCATION, EXPERIENCE AND QUALIFICATIONS:

Experience in a managing position or assistant managing position.  

Compensation/Schedule 

WGTB’s Box Office Manager (employee) is a part-time seasonal employee and shall be paid at a rate of $21/per hour.  If Box Office Manager needs more hours than 650, hours to be approved by Managing Director prior to working extra hours.  

Payroll will be processed based on detailed accounting of tasks turned in no later than the final Monday of each month to the Managing Director and Office/Payroll. Payroll is processed approximately each Tuesday and distributed approximately each Friday. This compensation shall be based upon a set, part-time schedule. 

Potential raises in pay may be made after annual review. 

Sick Leave (Office of the Labor Commissioner) 

Each hour of work will accrue towards sick leave up to a maximum of 24 hours in a calendar year per employee. These hours are intended for health-related events and can be used to support the care of an ill loved one/dependent. If requested, employee will provide documentation of appropriate use of sick leave. Accrued paid sick leave may be carried over to the next year, but it will be capped at 48 hours or six days.  Used sick leave must be tracked and reported on weekly timesheets. Employee is not entitled to any end of the year compensation for unused sick leave.
